What is the purpose of keeping data on our members?
1.    To know the name of the member and if a current membership fee has been paid.
2.    To be able to communicate with members by
       a.    email
       b.    post
       c.    telephone
       d.    text
3.    To enable the committee to send out information relating to
       a.    membership
       b.    lectures and other events of historical interest
       c.    visits
       and the Annual Newsletter
4.    To maintain records for gift aid and standing orders
5.    To carry out profiling analysis on
       a.    the interests of members to guide our programme
       b.    how people found out about the society


We do NOT :
⦁    Data share with other organisations (regardless of whether data is sold or exchanged for free)
⦁    Research data on members, regardless of whether data is obtained from the public domain, or a publicly accessible source. (including attempting to find out any information about a person’s financial position, property, previous donations or their propensity for giving)
⦁    Acquire data from third parties – this includes the details of prospective donors, acquiring data to flesh out existing or prospective donor records
⦁    Send out marketing material except for information about summer visits, events and lectures

Removal of data
The society will delete information one year after the membership lapses unless this information is required to be retained for the purposes of a gift aid claim relating to previous years.
You may withdraw your consent to receiving information by email/post/phone/text at any time by notifying the Membership Secretary.

Information for Members - the small print!

Abergavenny Local History Society undertakes to fulfil the aims laid down in the Society’s Constitution. This will normally include, among other activities, a series of lectures and visits to places of historic interest over the summer. ALHS supports Abergavenny Museum, the local Eisteddfod and other organisations where appropriate. These can involve volunteering opportunities for members. Some activities, such as the summer visits, incur charges to cover costs. Members receive updates and information about the Society’s activities at lectures, by email, on the website and in the annual newsletter.

Membership of ALHS entitles members to attend all the lectures shown on their membership card and to have free tea or coffee after the lecture. If a lecture has to be cancelled every effort will be made to replace it with a suitable alternative. If the cancellation is due to very bad weather the lecture will, if possible, be rescheduled to the summer. Very occasionally tea and coffee may not be available.

ALHS membership runs from 1 May until the agm of the following year (usually in the third week of May) and subscriptions are £10 per person per year or part year starting between 1 May and 31 January. A part-year membership for up to 4 lectures may be obtained after 31 January for £5. Children and full-time students enjoy free membership. Subscriptions may be paid by standing order: ask the Membership Secretary for a form if you wish to pay this way.

Members are encouraged to fill in the Gift Aid section of the membership application form if they can, as Gift Aid boosts the Society’s income significantly. Pease ask the Membership Secretary for a gift aid form if you think you are eligible to claim and have not previously filled one in. Members are encouraged to provide their email address as this saves ALHS the cost of printing and postage. Just contact alhs@live.co.uk to give your email address.

Members are requested to bring their membership card with them to all lectures and Summer Visits. If a membership card is mislaid it will be replaced by the Membership Secretary when the loss is reported.

Visitors may come to one lecture free (though donations are welcome) but they are expected to pay for membership if they wish to attend another lecture.

People who have previously been members of ALHS may not attend any lecture as a visitor, but must renew their membership. Previous members who have allowed their memberships to lapse are always welcomed back as members.

Members are requested to inform the Membership Secretary as soon as possible if they change their Contact Permissions, Gift Aid status, address, telephone number or email address, or if they cancel their standing order.

The Summer Visits are usually overbooked, so bookings are made in the order received from members. All those going on visits must be members at the time of booking and at the time of the visit. Places on Summer Visits may not be booked for guests unless they are already members of the Society. Last minute places may be taken up by guests only if they pay their Society membership subscription for the year (£10) in addition to the cost of the visit.

The Committee reserves the right to cancel the membership of any member whose continued membership is felt to be detrimental to the Society.
